Applies to the Hotelic Essentials app
You can delete your Hotelic Essentials account and its associated data at any time — from inside the app in a few taps, or by sending us one email. This page explains both routes, exactly what gets erased, and the small set of records we are legally required to keep.

Delete Inside the App
The fastest way to delete your account is from inside the app. You do not need to contact anyone, and the request is actioned immediately.
- Open the Hotelic Essentials app and sign in with the account you want to delete.
- Go to Profile (or Account) from the bottom navigation.
- Scroll to the bottom and tap Delete account.
- Read the confirmation screen, which lists exactly what will be removed, and confirm. You may be asked to re-enter your password so we know it is really you.
- Your session ends straight away, you are signed out on every device, and your push notifications stop.
Before you delete: download or note down any invoices you still need, and make sure no order is in transit or awaiting payment. Deletion cannot be undone — if you come back later, you will need to register and be approved again as a new account.
If your business has staff logins under the main account, deleting the main account also removes those staff logins. To remove a single staff member instead, remove just that login from the staff section and leave the account in place.
Request Deletion Without the App
If you have already uninstalled the app, cannot sign in, or would simply rather we did it for you, email us and we will take care of it.
- Write to enquiry@hotelicessentials.com with the subject line “Account deletion request”.
- Send it from the email address registered on the account, or include the registered mobile number and business name so we can identify the account.
- Tell us whether you want the whole account deleted, or only a specific staff login removed.
We may contact you on the registered number or email to verify the request. This is a safeguard: we will not delete an account on the word of someone we cannot verify, because deletion is permanent.
Verified requests are completed within 7 business days. We will confirm by email once the deletion is done.

What Is Deleted
When your account is deleted, we permanently remove or irreversibly anonymise:
- Your profile — contact person’s name, mobile number, email address and any other profile details held on the account.
- Your password — the stored hash is destroyed.
- Your saved delivery addresses — every address, landmark, delivery contact and instruction you had saved.
- Your staff logins — all additional logins created under your account, and their access.
- Your login sessions and access tokens — revoked immediately on every device.
- Your push notification tokens — removed from our systems, so no further notification can be sent to your devices.
- Your catalogue activity — search history, viewed products and any saved lists or favourites.
- Your enquiries and support correspondence — deleted, unless a specific matter is still open or is required for a legal claim.
- Documents you uploaded — such as a registration certificate submitted for account approval.
Deleted data is removed from our live systems immediately on completion of the request. Residual copies may remain in encrypted backups for a short rolling period before those backups are overwritten in the normal cycle; they are not used for any purpose in the meantime.
What Is Retained
Indian tax and company law requires us to keep certain business records even after an account is closed. We keep only what the law requires, and we do not use it to contact you or to market to you.
- Invoices, credit notes and tax records — retained for the period required under GST and company law (generally up to eight financial years from the end of the relevant financial year). These necessarily contain the business name, GSTIN, billing address and the goods supplied.
- Order and delivery records — what was supplied, when, at what value, and the payment or Cash-on-Delivery collection against it, kept as part of our books of account.
- Payment references — the settlement method, amount, any bank or cheque reference and the date, as recorded by our accounts team. These are needed to reconcile payments and to handle any dispute. Card and UPI credentials are not retained, because we never held them in the first place.
- Records needed for a live matter — anything required for an open order, an unpaid balance, a pending return or refund, an insurance or carrier claim, or an actual or threatened legal claim. These are deleted once the matter is closed and the retention period has run.
- Aggregated, anonymised statistics — for example total units sold in a category. These carry no personal identifiers and cannot be traced back to you.
